Office Administrator NEEDED!!!

For those not aware, our part time office administrator was offered and accepted a full time position at her other part time job.

What that means for Grace is we now are without an office administrator. While we can scratch and claw are way in getting bulletins done for Sundays with our wonderful group of office volunteers, other things are and will be further neglected.

So here is our official job posting for the open office administrator position. Spread the word to any and all who may be qualified and would love to come join our Grace Family!


Grace Lutheran Church is a small, yet growing family-focused church based in the Lily Lake/Elburn/ Campton Hills/ Maple Park area, west of St. Charles. Grace is known for our friendly welcoming environment and loving care for our whole community – members and neighbors alike.

The Position:

We are looking for a part-time Office Administrator (OA) to work up to 20 hours weekly, usually morning hours but willing to negotiate with the right person. We also can offer training on work related programs, procedures and equipment.  Compensation will be $12- 15 per hour based on experience with regular but flexible schedule and holidays.


The right person is a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist church leaders, volunteers and all visitors to the church by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, calendar arrangements, and generally being a helpful and positive presence in the office.


To be successful as an OA for Grace Lutheran Church, candidates should be professional, polite, and attentive while also being accurate. They should be prepared and responsive, willing to meet each challenge directly. OA will be comfortable delegating and sharing responsibilities with the volunteer team.  OA must be comfortable with computers, general office tasks, and excel at both verbal and written communication with strong results orientation. Most importantly, OA should have a genuine desire to meet the needs of others.


Office Administrator Responsibilities:

  • Administrative Support for the Pastor and other church leadership
  • Handles office tasks, such as answering phones/follow-up on all messages, distributing mail/email, reordering supplies, maintaining polite and professional communication
  • Prepare/Print Weekly Bulletins and accompanying documents as needed
  • Prepare/Print/Distribute Monthly Newsletter
  • Update and maintain church calendar, and web page
  • Manage database of membership, friends/associates and visitors, tracking attendance and providing necessary follow-up information. Church Windows; experience desirable.
  • Communicate as appropriate and needed with volunteers, Leadership Team, Maintenance, and Pastor
  • Oversee and manage building usage and groups
  • Maintain files
  • Oversee maintenance of office equipment
  • Communicate with Staff and volunteers, including delegation of responsibility with office and other volunteers as needed
  • Greet and assist visitors


Education: High School graduate or equivalent. College or University helpful.

Experience: Minimum two years office experience. Experience working in a church environment desirable.

Additional needs:

  • Aptitude for working well with diverse personalities and communicating clearly and concisely.
  • Ability to understand and maintain confidentiality.
  • Understand dynamics of congregational culture and church environment.
  • Attention to detail.
  • Experience with Microsoft Office Suite; experience maintaining web sites and Church Windows a plus.
  • Proficiency at keeping accurate records and maintaining an organized filing system.
